Most projects require excellent time management to truly be efficient and successful. In addition to solid project planning, the continuous control of the key metrics is crucial – these are referred to as Key Performance Indicators, or "KPIs" for short. Without the right KPIs, it's hard to stay on course and ensure that projects achieve the desired results within the planned budget. With this in mind, we have introduced two brand new features with the budget bento release that give you quick and easy access to your most important KPIs around times in awork: The KPI reports for projects & users and the "tracked vs. planned" view for project times.

KPI reports now give you a comprehensive view of key metrics for your projects and users, helping you to stay on budget. With the new "tracked vs. planned" view of project times, you have all the relevant data at a glance to ensure that your tasks run smoothly without jeopardising your project budget. The improved KPIs in awork now give you new ways to quickly identify and react to problems based on real-time data.

In addition to the new KPI reports, we have also made other small improvements, such as directly linking task lists, improvements for easier team selection for projects, and more options for faster user search in permission management.

Time reports in awork have been a helpful tool when it comes to getting a detailed insight into the details of your project management. But if you need a quick overview of the current status of your project or the times of your team, the new KPI reports are just what you need!

With the new KPI reports, you always have easy access to all important KPIs around times in awork – regardless of whether it's your project times or the times of users. This improves the overview in all areas of your project planning and ensures that you always stay within the planned budget.

KPIs for your projects

You can find the KPIs for your projects within a project under "Times". Here you have the following KPIs directly at hand:

  • Total tracked time: The KPI "total tracked time" shows you the total tracked time of a project and divides it into billable and non-billable hours.
  • Ready to invoice: The KPI "Ready to invoice" divides the total tracked time of your project into billed and billable hours. By clicking on the "Invoice" button within the KPI, you can create a time report for invoicing directly from your billable times.
  • Budgeted time: The KPI "Budgeted time" shows you how many hours have been set as a budget for the project and how much of this budget has already been used.
  • Tracked vs. planned: The KPI "tracked vs. planned" takes into account the planned effort for all tasks of the project and gives you a comparison between your tracked and your planned times.

The transparent data of your project allows you to identify bottlenecks and capacities early on and respond quickly. It's important to know that KPIs are always displayed for the entire project duration. There is no option to edit the time frame.

KPIs for users

You can find the KPIs for users in the user management of selected users under "Times". Here you have the following important information about your team directly accessible:

  • Total tracked time: The KPI "total tracked time" shows you the total time tracked on a user and divides it into billable and non-billable hours.
  • Ready to invoice: The KPI "ready to invoice" shows the total tracked times of a user and divides them into already billed and billable hours.
  • Absences: The KPI "absences" indicates how many days a user was absent in total during a selected period.

These KPIs allow you to effectively monitor the tracked time and absence of your team and optimize your time planning in view of your projects.

The new "tracked vs. planned" view of project times gives you detailed data on the times of individual tasks and lists, which you can use for optimizing your project planning.

When you open the "Times" tab in a project, you will find the usual overview of your KPIs and all tracked time entries of the project. In addition to the list of times you are already familiar with, we have added the new "tracked vs. planned" view. Here you will now find more details about all individual project content, such as lists, tasks or subtasks. The new view can be activated in the top right of the list of your project times.

In addition to tasks and subtasks, this view also contains a new level – the task list. Each task list shows the summed details for all tasks in this list. By expanding the task lists, more details about the individual tasks and subtasks can be displayed.

With the "tracked vs. planned" view, you will now find the following details for your project times:

  • Planned: The "planned" column shows you the planned time for a list, task or subtask.
  • Tracked: The "tracked" column shows you the total tracked time on a list, task or subtask.
  • Progress: In the "progress" column, you can see the progress of your list, task or subtask. This is calculated from the planned and tracked time on that list, task or subtask.
  • Billable: The "billable" column shows you, how many hours of a list, task or subtask are already billable.

Thanks to these new details, you always keep an overview of which tasks (lists) are progressing as planned and which are at risk of exceeding their planned budget.

Link your task lists

From now on, you can create links to individual task lists – very similar to how you have already done with projects or individual tasks. A click on the link is enough to get directly to the desired task list within the project, without having to search for the corresponding list.

To link a list, hover over the name of the list you want to share and open the action menu (three gray dots) that appears to the right of the name. There you will find the new "Copy link to list" option. πŸ”— When you click on it, the link is in your clipboard and can be pasted into any text field of your choice using CMD+v (ctrl+v). When the pasted link is opened, the linked task list in awork is automatically opened.

Add teams easier to projects

An important step in creating projects is selecting and assigning the right teams. Especially in larger companies, there can be more than 20 or even 50 different teams and questions like "which one was the right one for this project again?" come up quickly. So that you have a good overview when assigning and quickly find the right project team, we have improved the module for team selection.

Here you will now not only see the first 10, but all the teams of your awork workspace. So you can simply scroll through the list and find the team you are looking for. The search function remains of course, in case it can't be quick enough. πŸ˜‰

Faster search in permission management

In the permission management, you have all the important information about users of your workspace at hand, from teams to permission roles.

To make it even easier to find the information you need, we have improved the search function in this list. You can now search by role name, email address or team name to filter the list.

For example, do you want to check that all the interns in your workspace have the same permission roles? Just search for the role name "intern" and get an overview of all your interns. This way you can quickly see who is in which team or has which permissions.
